Working with teachers

Once you are teaching more than you can personally cover, you add teachers. Each gets their own login and schedule, and Pedagio tracks what they have earned so paying them is not a spreadsheet exercise.

What a teacher can and cannot do

A teacher sees their own work, not the whole academy. They cannot open Settings, the Teachers page or Payments at all.

There is also a staffrole for an administrator who is not you — an office manager, say. Staff can manage teachers, students and payments, but not Settings, which stays owner-only.

Adding a teacher

    Open Teachers from your admin sidebar and add one with their email address. They receive a sign-in link.

    Assign them to a batch from that batch's Members tab, or from the teacher's own page.

    Set their rate, if you pay per session. Without a rate, nothing accrues and you are back to tracking it yourself.

Teachers can apply to you as well

You can publish a teacher application form on your public site, so people can apply rather than you approaching each one. Applications arrive with a status you move through — nobody gets access until you approve them.

Rates and earnings

Set a per-session ratefor each teacher. You can set one default rate, or different rates per course — useful when someone teaches both a large batch and 1-on-1 sessions that are worth more per hour.

As classes are held, earnings accrue against the teacher automatically. Their own dashboard shows what they have earned, which removes most of the month-end questions.

Earnings follow attendance, so mark it

A session that was never marked is a session that did not, as far as Pedagio knows, happen. If you are casual about attendance, teacher earnings will be wrong and so will student progress and class-pack balances. It is the one piece of admin worth being strict about.

Paying teachers

Record a payout against a teacher for a period — a week, a month, whatever you use. Pedagio marks the covered earnings as paid, so the outstanding figure stays accurate.

Pedagio records payouts, it does not send money

You pay the teacher yourself, however you normally do. Pedagio is the record of what was owed and what has been settled — it does not move funds, and there is no automatic transfer to set up.

Teachers who book their own sessions

A teacher can publish their availability, and students request slots against it. The teacher confirms or declines each request, and a confirmed booking becomes a session on the calendar.

You can set a minimum hourly rate, notice period, gap between sessions and how far ahead students may book — so a teacher cannot accidentally accept a class at 6am tomorrow. This is the same machinery as class packs; see Selling class packs.

Practical advice

  • Set the rate before the first class, not after. Backfilling earnings is tedious and it is where disagreements start.
  • Agree a payout schedule and stick to it. Teachers who can predict when they get paid ask far fewer questions.
  • Check attendance is being marked weekly. It is easier to fix a missed session in the same week than at month end.
